The Whitefire Theatre
SOLOFEST 2025 AGREEMENT
All shows submitted will be passed through a Whitefire team acceptance process before being confirmed as participants in Solofest 2025. For the purposes of this agreement, The Whitefire Theatre and Solofest are referred to as simply “Whitefire,” and performer/artist/signing party as “Producer.”
Dates and Showtimes of Solofest 2025
Solofest will begin Thursday, January 16th, 2025, and run into April, 2025
Showtimes are Thursday-Saturday at 8pm, Sunday at 7:00pm (unless arranged in advance and with venue approval).
Tech times are pre-set as 12p-6p (Thursday-Saturday) and 11a-5p (Sunday), the day of performance.
Costs
There is a one-time non-refundable application fee of $25.
Registration = $225 (once show has been accepted and given a date)
Show tech and performance, including personnel = $875 (out of ticket sales)
*Total cost equivalent to 50 tickets sold. Theater has an 84 seat capacity.
Producer is responsible for meeting the minimum $875 out of ticket sales and will only be billed should the minimum not be met. Anything over the minimum is returned to Producer within 1 week of performance.
If Producer cancels their performance less than 30 days before their performance date, they will be charged a one-time fee of $250.
Optional Add-On Costs:

Additional rehearsal time = $50/2 hr block (work lights only)

Show recording from in-house videographer = $225 for up to 80 minutes (This is the base price for a single camera. Videographer will provide separate list upon request for any additional editing, multiple cameras, etc.)

QLab design work = $100 base price for converting up to 25 existing files into a Qlab program. Full design or additional cues to be negotiated with designer.

Ads on The Whitefire ticketing site range from $10-$25. Whitefire will match the first ad purchase for free.
Ticketing
Tickets are run on the Stagey platform only.
Live tickets set by venue at $25, with 4 comps allowed to Producer.
Streaming tickets set by venue at $19.99, with 10 comps allowed to Producer (see below for more info on streaming).
Producer is prohibited from adding any 3rd party ticket site sales, tiered pricing, or discounts without prior approval from Whitefire.
Streaming
Producer will have the option to have Whitefire post their show on our Vimeo On-Demand streaming site for rental by patrons. There is no cost to the Producer for us to post the video,and all ticket revenue is split 50/50.
-Recording must be made of the production during Solofest, by our videographer, Kenny Johnston.
-Can remain streaming for up to 3 months.
-Tickets will be listed as ($19.99), with a rental period of 72 hours.
-Ticket settlement for On-Demand occurs within 1 week of performance being taken off of the site.
Technical Requirements/QLab
Whitefire requires Qlab be used for any and all sound and video files. No other programs will be allowed.
Producer agrees that all sound/video files will be provided two weeks prior to tech as Qlab files, or else make separate arrangements with our in-house designer at least 30 days out from tech date to convert any files needed to Qlab.
Producer’s QLab file will not exceed 50 cues combined of audio/projection. If more than 50, Whitefire must be made aware no less than 30 days before tech date. If Producer arrives at tech rehearsal with more than 50 cues without prior discussion, technician will have the right to stop tech at 50 cues.
Additional Requirements:
Producer must provide 2 clean, printed scripts to technician on day of tech.
The Whitefire does not provide any vocal amplification, as it is NOT RECOMMENDED in the space. If Producer insists, then Whitefire must be made aware at least 30 days in advance of tech rehearsal date so that arrangements can be made. In such a case as Whitefire allows additional amplification, Producer is responsible for rental and care of all equipment, and will need to hire an additional sound technician. The technician provided by Whitefire for cues will not also provide live sound support.
Graphics
Whitefire requires the following graphic sizes. Content listings are simply recommendations.
300×300 pixel show image, 300 dpi – title/performer only recommended
400×400 pixel show image, 300 dpi – title/performer only recommended
4×6 inch show image, 200-300 dpi – title/performer and limited additional text (director, tagline, show dates)
11×17 inch, 300 dpi – title/performer and additional text (director, tagline, show dates, review quotes)
Producer is responsible for providing all correct sizes and files in JPG or PNG format. If incorrectly sized or formatted, Producer is hereby made aware their image may not be used in all possible marketing platforms where Festival marketing is performed. Whitefire will not resize or reformat any images.
Producer’s General Responsibilities
Producer agrees to keep all spaces clean. Dressing rooms must be completely clean (no personal articles, scripts, food, beverage, water bottles, etc.) at the end of each performance. If Whitefire needs to clean/dispose of trash etc., there will be $75 fee
Producer agrees to good faith efforts to market and publicize their own show, as well as participate in Festival social media.
Whirefire Provides/Additional Items
Marketing and publicity of Festival itself, with equal opportunity for individual show highlights.
Clean and organized venue.
Technicians for tech and performance.
House staff for performance.
Custom designed lighting.
Audio playback capabilities with surround speakers.
Digital front projection.
Use of furniture or props belonging to Whitefire or a third-party with Whitefire/Owner’s prior consent.
If filming: Director and hi-res camera.
Referrals for professional staff in whatever area Producer requires.
Miscellaneous
Producer agrees not to make any alterations, additions, repairs or improvements in or about the physical property, including removal or altering of all curtains, without the prior written consent of Whitefire.
Producer agrees not to change, move or relocate sound system or lighting board out of the booth without the permission of Whitefire.
Producer understands that Whitefire is a multi-use space and that other productions will be sharing the space and technical equipment that is provided by Whitefire.
Producer is solely responsible for the security and maintenance of their own production property.
Whitefire is not responsible for any theft, loss, or damages.
Whitefire is a non-smoking facility in accordance with City Fire Regulation. With the exception of on-stage performances, smoking is not allowed in the theatre.
Whitefire is for theatrical stage productions or rehearsals only. Any other use of the facility must have prior written consent of Whitefire.
No pets are allowed in the theatre without the prior consent of Whitefire
No use of glitter, glitter make-up, table confetti or any similar type of material that contains glitter is allowed in the theatre. There will be a $100 fine if any of the listed products have been used.
Arbitration
If a dispute arises between Whitefire and Producer out of or relating to this agreement, or the breach thereof, and if said dispute cannot be resolved through timely, good faith efforts, the parties agree to first submit the matter to binding arbitration with an independent arbitrator presiding. The arbitration shall be processed under the auspices of, and in accordance with, the rules and procedures under the Commercial Mediation Rules of American Arbitration Association in Los Angeles County, California, and judgment upon the award rendered may be entered in any court of the forum having jurisdiction thereof.
In the event that Whitefire assigns or transfers ownership of the business to another party, the obligations and/or covenants in the rental agreement shall remain in force and binding upon that party. In such an event, Bryan Rasmussen shall be relieved of all liability with respect to the obligations and/or covenants contained in the rental agreement.
Indemnity
Producer agrees to release, indemnify, protect, defend, and hold harmless the Whitefire Theatre, and its and their officers, directors and employees and their respective successors from and against any claims, demands, causes of action, judgments, proceedings, awards, damages, losses, fines, penalties, costs, expenses and liabilities, including litigation costs and reasonable attorneys’ fees, arising out of (a) death, illness, injury, lawsuits, or property loss or damage as a result of or in connection with the negligent acts or omissions of show producer, affiliates, subcontractors and their respective employees, officers, directors, representatives, agents and invitees, or (b) a breach of this Agreement by show producer.
Permissions and Unions
By signing this agreement, producer affirms that they are solely responsible for any necessary union reporting and contracting, and that they have rights to perform the work in question. If there are any other rights holders, producer must provide proof of right to perform the work to venue.
